Office Co-ordinator

We have an exciting opportunity for an office co-ordinator to join the team.

Based in Biocity, Newhouse, we are looking for the right person to organise and provide the support systems for the company. You will set up and run the office systems, manage our book keeping, provide marketing support and generally support administration tasks as required for a fast growing, fast paced company.

You will provide the steady hand required to keep everything organised.

Key activities include:

  • Oversee all daily office functions liaising with the members of the management team as required
  • Setting up and management of all office documentation, filing, data room and due diligence systems
  • Preparation and maintenance of the Banking, Purchase and Sales Ledgers on SAGE 50 or similar accounting software
  • Raising sales invoices, processing purchase invoices and reconciling bank transactions on SAGE 50 or similar accounting software
  • Preparation of VAT returns
  • Management of credit control
  • Support the senior management team to arrange meetings and board papers
  • Take minutes at meetings including board and advisory panels
  • Be the first port of call for all incoming enquiries and contact by telephone, email etc
  • Provide marketing support including maintenance and update of the CRM system
  • Support social media on all usual platforms
  • Support the preparation and use of master template documentation and ensure corporate identity is maintained throughout the company
  • Management of all mail, courier deliver including expediting to and from overseas
  • Receive and direct external visitors
  • Facilitate induction of new hires for team including IT and key card access arrangements
  • Coordination of all travel requirements including air and ground transportation, hotel reservations, visas (including geographical awareness) and other travel documentation

Qualifications Required Skills/Experience:

  • Ability to work independently with minimal guidance to drive things forward
  • Outstanding organizational, prioritization and time management skills
  • BA / BS degree or equivalent work experience
  • Minimum 5 years of senior team level support experience
  • Must have strong attention to detail
  • Have experience of common accounting systems
  • Strong communication skills and ability to interact with internal and external partners
  • Works well under pressure in a rapidly changing environment
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive materials/issues
  • Be a problem solver at heart with a genuine interest in helping team members
